Considerations for an LMS Accessibility RFP

We’ve sub-divided the questions based on functional areas that are imperative towards creating a scalable and robust LMS accessibility strategy.


Accessibility Formats

  • Does the product provide accessibility alternative formats as PDF, text file, gradient reader, immersive reader, EPUB, audio podcast, OCR tagged PDF, OCR reconstructed PDF, OCR Reconstructed DOCX, OCR Reconstructed HTML, LaTex, MathML, Math Audio, Braille Grade 2 BRF, Braille Grade 2 UEB?
  • Does the accessibility alternative formats including PDF, immersive reading, text file, EPUB, digital Braille, audio podcast, and language translation?
  • Does the product translate documents in over 110 languages to ensure that content is able to be viewed across a broad cross-section of learners?
  • Can instructors option to show or hide specific alternative accessibility file types to the student? For example, exclude a particular accessible alternative such as translated text?
  • Can users adjust accessibility settings individually as well as use preset accessibility profiles including motor impaired, color blind, dyslexia, visually impaired, ADHD and seizures & epileptic?
  • Does the product allow students to access a fully OCR’d and tagged PDF for any non-tagged or scanned PDFs that an instructor uploads?

Content Analysis

  • Does the product offer Accessibility Engines that can fully analyze documents and HTML regions for WCAG 2.1 and WCAG 2.2 accessibility issues?
  • Does the product’s accessibility analysis include step-by-step LMS Specific guides and videos on how to fix individual accessibility issues?
  • Does the product’s accessibility analysis include information on what each accessibility issue means, and why it matters for accessibility?
  • Can the accessibility score’s weighting be modified to emphasize and de-emphasize certain issues? Can the institution modify these weightings without requiring customizations from the vendor?
  • Does the product allow for customized rubric adjustments with different scoring modalities?
  • Does the product allow for viewing previous versions of the document to view how the score and issues reported has changed over different versions of the document?
  • Does the product allow for downloading the accessibility report of a document for offline viewing and remediation?
  • Does the product provide a full score calculation breakdown to fully understand why a document received a certain score?

Content Remediation (Via YuJa Inline Full-Circle Content Remediation)

  • Can the content owner directly fix and replace the original file with a remediated and more accessible document? Please provide the specific steps to doing so.
  • Can the content owner directly replace the original file with an alternative format such as OCR Tagged PDF?
  • Does the product provide content owners the ability to resolve accessibility issues from directly within their LMS without requiring third party applications such as Microsoft Office or Adobe Acrobat Pro?
  • Does the product provide the ability to directly update the document within the LMS without requiring the content owner to manually download the document and then re-upload the new version to the LMS?
  • Does the product provide the ability to apply a fix to all instances of an issue within a document?
  • Does the document remediation for all formats happen in real-time?

AI-Based Remediation (Via the YuJa AutoPilot AI Platform)

  • Can the product automatically fix documents—such as PDFs, Word Documents, PowerPoints, HTML files—by suggesting accessibility fixes and then automatically fixing the root cause within the document itself with a single button press?
  • Does the product offer an AI-enabled system that automatically remediates large volumes of documents automatically?
  • Does the product offer the ability to configure an AI-based remediation process that automatically resolves user specified issue types for all documents within a course?
  • Does the product allow you to view how many issues were resolved via AI and how many manual hours that were saved?

Structural Remediation (Via YuJa Structural Remediation Max)

  • Does the product provide structural PDF remediation including inline modification of reading order, font size, color contrast?
  • Does the product provide the ability to modify the reading order of PDFs?
  • Does the product provide the ability to edit each individual tag of a PDF?
  • Does the product provide the ability to automatically tag a non-tagged PDF?
  • Does the product provide the ability to automatically tag and OCR a scanned PDF?
  • Does the product provide the ability to automatically re-tag a poorly tagged PDF?
  • Does the product provide the ability to easily see where a tag exists on the PDF? Both in the tag hierarchy and as an overlay on top of the PDF?

Real-Time Accessibility

  • Do instructors and administrators receive real-time accessibility suggestions within WYSIWYG text areas within the LMS?
  • Does the real-time accessibility suggestions automatically update the score of the WYSIWYG text area as the instructor creates content?
  • Does the real-time accessibility suggestions include support for over 25 WCAG aligned issue types?
  • Can the real-time accessibility suggestions provide alt text for images without alt text?
  • Can the real-time accessibility suggestions detect and flag non-captioned videos?

STEM Content

  • Does the product analyze math equations and scientific diagrams to create accessible alternatives, including audio narration of complex math equations?
  • Can the math and STEM content within a document be extracted as a readable LaTex file?
  • Can the math and STEM content within a document be extracted as an Audio Podcast?
  • Can the product analyze handwritten math equations and create accessible alternatives?
  • Can the product analyze chemical equations and chemistry diagrams (example: visual carbon chains of molecules) and create an audio podcast, as well as text-based equivalence?

Integration

  • Does the platform provide integrated support into all major LMS platforms including Canvas, Moodle, D2L Brightspace, Blackboard Learn, and Blackboard Learn Ultra?
  • Does the product provide inline accessibility formats directly adjacent to the content within the LMS?
  • Does the platform’s inside-LMS accessibility badging indicate the accessibility score using both color and shape to ensure WCAG 2.1 compliance?
  • Does the product provide a native LTI 1.1 and LTI 1.3 to integrate with the Learning Management System (LMS)?
  • Does the product offer the ability to customize role mappings for custom LMS roles?
  • Can the product be deployed within a particular sub-org / sub-account? Can it be deployed to multiple sub-orgs / sub-accounts but not across all courses?
  • Does the product support a standalone portal with a customizable login page?
  • Does the product support authentication via LTI 1.1, LTI 1.3, Direct Login, and Single-Sign-On?

Reporting

  • Does the product provide institution-level reporting and benchmarking?
  • Can the institution-level reporting be segmented based on sub-organization such as department, faculty and school? Does the benchmarking summary analytics show the sub-organization’s segment?
  • Can the reporting be segmented based on the term?
  • Does the product provide full accessibility reports for individual courses?
  • Does the product provide accessibility reports based on content only published for student viewing?
  • Does the product provide the ability to filter based on date of content creation?
  • Does the product provide the ability to download reports via both JSON and Excel?
  • Does the product integrate with PowerBI to provide dashboards that admins can customize?
  • Does the product provide the ability to view / download several reports detailing a breakdown of the following, all filerable by department, term, and time?
    • Issue types found
    • Content uploaded and downloaded
    • Storage of files
    • Issues remediated by AI

Branding

  • Does the product allow for the change of colors for presented icons?
  • Does the product allow for the resizing of presented icons?
  • Does the product provide the ability to change the colors and gradients in the platform?
  • Does the product allow for a custom and separate login page outside the LMS?

Website Accessibility (Via the YuJa Website Accessibility Widget)

  • Does the product’s license include a website accessibility widget that can be embedded within the LMS, any public-facing website, Intranet or custom website owned by the institution?
  • Does the product’s website accessibility widget allow content adjustments that include content spacing, font sizing, line height, letter spacing, readable fonts, cursor size, animation pausing, and reading mask?
  • Does the product’s website accessibility widget allow color adjustments including contrast, saturation , monochrome, as well as color adjustments to the titles and buttons.
  • Does the product’s website accessibility provide preset profiles and allows users to define their own custom profiles?
  • Does the product’s website accessibility persist between sessions on a website?

Document Repository (Via YuJa DocHub)

  • Does the product provide an Accessibility Portal that users can self-manage their document content library?
  • Does the product provide the ability to view alternative formats and accessibility reports for documents in this document repository?
  • Does the product allow instructors to check and resolve the accessibility of documents in this document repository before uploading it to their courses?
  • Does the product provide the ability to break down this document repository into folders and sub-folders?
  • Does the product provide the ability for students to upload documents not found in their LMS to this document repository to retrieve alternative formats?
  • Does the product provide the ability for users to share documents in their document repository?

Name Pronunciation (Via the YuJa AudioName Pronunciation Platform)

  • Does the product provide the ability for users to easily share the pronunciation of their names with other users via both phonetic spelling and audio recording?
  • Does the product add icons directly in the LMS next to a user’s name which displays the pronunciation phonetic spelling and audio recording?
  • Does the product allow a user to add a widget to their email signature which will play the audio recording of their name upon being clicked?

Audio Assistance Tools (Via the YuJa SmartSpeaker AI Platform)

  • Does the product’s license include an audio assistance widget that can be embedded within the LMS, any public-facing website, Intranet or custom website owned by the institution?
  • Does this widget provide users the ability to read out any text on the page?
  • Does this widget support multiple voices and languages?
  • Does this widget support both an embedded content mode and an overlay mode?

Note-Taking Tools (Via the YuJa AccessNotes Note-Taking Platform)

  • Does the product’s license include a note taking tool that allows students to record lectures and take detailed notes?
  • Does this note taking tool allow recording of the lecture via both microphone and internal audio to support both in-person and online lectures?
  • Does this note taking tool automatically generate a transcript of the lecture?
  • Does this note taking tool automatically generate alternative formats of viewing the lecture transcript such as viewing it in a gradient reader?
  • Does this note taking tool allow students to add timestamped notes via a rich HTML editor that supports embedding images and whiteboard drawings?
  • Does this note taking tool allow students to add and edit timestamped notes both during the lecture and afterwards when reviewing the lecture?
  • Does this note taking tool allow students to upload slides, both in PDF and PPTX formats?
  • Does this note taking tool allow students to name and organize their notes into folders and sub folders?
  • Does this note taking tool allow students to ask questions about their recording via an AI chatbot trained on their notes?
  • Does this note taking tool allow students to generate and take practice exams based on their lecture notes?
  • Does this note taking tool automatically generate a summary and outline of each lecture using AI?

LMS Accessibility Designers (Via the YuJa LMS Accessibility Designer)

  • Does the product provide WYSIWYG HTML-based Design Tools? Specifically, what HTML templates and design elements are included as part of the Design Tools?
  • Do the Design Tools provide the ability to create branded templates and themes that change the default attributes of design elements?
  • Are these templates and themes able to be set at the user level, course level, and institution level?
  • Do all elements created by the Design Tools adhere to WCAG accessibility standards?

Others

  • Is the product localized into non-English languages such as French and Spanish?
  • Can the institution create customized terms of use documents that are displayed as part of an end-user notification?
  • Does the product offer non-LMS access through Single-Sign-On? What Single-Sign-On systems are compatible with the product?
  • Describe how the product celebrates accessibility and provides gamification options to incentivize users to improve their content’s accessibility.
